Privacy Notice for participants in STEP Programmes
STEP – Specialist Training and Employment Programme – is a support service provided by World Jewish Relief (‘WJR’), delivered in partnership with different organisations across the UK. This Privacy Notice forms part of World Jewish Relief’s Privacy Policy, which can be found on our website here. Together they explain how and why personal information (also known as ‘data’) about participants in STEP is collected and used, and where you can find more information about this and your rights.

World Jewish Relief is a charity registered in England & Wales with charity no. 290767 based at 54 Crewys Road, London NW2 2AD.

Personal data will be collected from those both enquiring about and participating in STEP. For these purposes, World Jewish Relief is the Data Controller and will be responsible for how your data is processed, unless stated otherwise. In order to participate fully in STEP, data will also be shared with certain partner organisations as Data Processors, in order for them to deliver STEP services. Any organisations with whom data is shared in this way is obliged by law to keep your personal information private and secure and they have entered into formal legal agreements with World Jewish Relief to ensure that data is only used for STEP purposes.
2. What personal information will be collected?
The following categories of data and information about you will be collected as it is considered necessary to deliver STEP services to participants:
- Name, address, email address, telephone number
- Date of birth and age
- Visa details
- BRP status (Biometric Residence Permit)
- Employment status
- Information about technical equipment and access to wifi
- Access to DWP coach
- Childcare needs
- Qualifications
- Photo
- Resume (education and career summary)
- Student unique identification numbers
- National insurance numbers
- Application numbers
- Enrolment numbers
- Region
- Sex
- Duration in UK
- Course stage – enrolled, initial assessment completed; active/inactive, mid-course assessment complete/incomplete, final assessment complete/incomplete
- Attendance levels (days and hours attended)
- Dropout levels and reasons as to why learners left the programme
- English proficiency of attendees including assessment scores (initial, mid and final)
- Employment outcomes (employment levels pre and post intervention)
- The changes in the attitudes of learners to employment prospects/English language ability
- Attitudes of attendees to employment prospects/language acquisition (through pre and post intervention surveys)
3. Our lawful basis for processing the data
Personal data may only be collected and processed if there a lawful basis for doing so. For STEP participants, and those enquiring about participation, the lawful bases are:
- Express and informed consent has been given by the person whose data is being processed; and/or
- World Jewish Relief has a legitimate interest in processing the data; and/or
- It is necessary in relation to a contract or agreement which the person has entered into or because the person has asked for something to be done so they can enter into a contract or agreement; and/or
- World Jewish Relief has a legal obligation to process the data.
We will only retain your data for as long as necessary to be able to deliver services to you, either through your participation in STEP of because you have enquired about participation and we consider it legitimate and reasonable to retain some data in order to be able to tell you about programmes that may be of interest to you in future. You can ask us not to process any or all of your data by telling us in writing, but this may affect our ability to provide STEP services. We may still need to retain some data about you in compliance with our other legal obligations.
4. How we use your data and keep it safe
We will process (collect, store, use and share) your data strictly in accordance with the law and our Privacy Policy, which explains how and why we process personal information and your rights – www.worldjewishrelief.org/privacy-policy.
We will store and manage some of the data we collect using CaseWorthy, a sub-contractor used by us to keep personal data safe and secure. Accordingly, some data may be held on servers in the United States and to ensure that your rights are protected, we have entered into formal international data transfer agreements with CaseWorthy and undertaken the appropriate checks and risk assessments in compliance with UK law.
We will also share some data, where necessary for the delivery of STEP, with certain third-parties with which we have entered into formal legal agreements to protect the data and your rights. These include:
- The British Council
- Local Authorities, if they too are processing data about you and this assists in the delivery of the STEP to you
- Business in the Community, a charity with which we work to assist participants in accessing employment opportunities
- The Entrepreneurial Refugee Network, a not-for-profit organisation helping refugees develop their own business opportunities.
5. If you have any questions or concerns
You have the right to know what personal information about you is being processed by us. If you have any questions or concerns about how your personal data is being processed, please email us at info@worldjewishrelief.org or telephone 020 8736 1250. We may require some enquiries to be submitted in writing and we will have to verify the identity of the person making the enquiry first. We cannot give out information about another person to someone who is not legally entitled to it.
